Legal
Terms & Conditions.
These terms set out how membership, bookings, events and visits to The Rec work. By becoming a member, making a booking or visiting The Rec, you agree to them. Please read them alongside our Data Protection Policy.
About these terms
The Rec is a lifestyle destination in Gacuriro, Kigali, at the entrance of Umucyo Estate, bringing together seven worlds: Soho Rec, Ubewe, Rare Café, MindMotion, Basecamp, Rare Society and IVV (“The Rec”, “we”, “us”).
These terms apply to everyone who uses our facilities, website or member app. Individual worlds may have additional house rules, which are displayed on site and form part of these terms. If anything in these terms conflicts with a written agreement you have signed with us, the signed agreement applies.
Membership
We offer Gym Only, Individual, Couple, Young Adult (13–17) and Seniors 60+ memberships, with optional Child (0–12), Grandparent and Personal Training add-ons. The benefits of each membership are described on our Memberships page and in your membership confirmation.
- Memberships are personal and cannot be transferred to another person.
- You must provide accurate personal information and keep it up to date in your member account.
- Young Adult members must be aged 13–17 and can hold their own individual login to book and manage their own activities. Children aged 0–12 are managed under the family’s main account and cannot hold their own login.
- Complimentary benefits (for example padel, Basecamp or wellness sessions) are allocated per month or per quarter as stated. Unused allocations do not roll over and have no cash value.
- Access to some experiences is subject to availability, capacity and age suitability.
- Family members who want benefits outside the Couple Membership may take an individual membership separately.
Founding memberships are limited in number and may carry additional benefits, confirmed in writing at the time of joining.
Fees & payment
All fees are quoted and charged in Rwandan francs (RWF). We accept MoMo, bank transfer, POS and payment link. Receipts or QR codes are sent by email.
- Membership fees are payable in advance for the payment term you choose.
- Payment terms are monthly, quarterly (3 months), biannually (6 months) or annually (12 months). Payment-term discounts apply only for the full term paid: 10% quarterly, 20% biannually and 30% annually.
- All prices are quoted in Rwandan francs and include VAT.
- Membership is not extended on credit. If a payment is not received or fails, member benefits are suspended and you will be treated as a non-member until payment is made.
- We may review our prices. We will give you at least 30 days’ notice of any change, which will apply from your next renewal.
Renewal
We will send a renewal reminder one month before your membership expires. To renew, choose your preferred payment term again and complete payment before your expiry date. If you do not renew, your membership ends on the expiry date.
Freezing your membership
- A membership may be frozen for 21 consecutive days per membership year.
- Freeze requests must be made in writing, through your member account or by email.
- Medical or other supporting documents may be required.
- All freeze requests are subject to approval. Your membership end date is extended by the approved freeze period.
Cancelling your membership
You may cancel your membership by giving 30 days’ written notice.
Where you have paid for a future period in advance and then cancel, any eligible unused balance will be refunded in line with these cancellation provisions. The unused balance is refunded at the rate you paid, including any payment-term discount. No refund is due where the prepaid balance is one month or less, as this is applied to the required notice period.
We may suspend or end a membership, with notice where reasonable, if a member seriously or repeatedly breaches these terms or our house rules. In that case, any refund will take account of the circumstances.

Bookable activities include the gym, padel, Basecamp, swimming pool, spa, sauna, steam room, cold plunge, jacuzzi, coffee tastings, MindMotion scheduled sessions and events. Schedules are published monthly.

Children & young adults
- Bookings for children are made by a parent or registered legal guardian through the family account, or with help from our Guest Experience team. Children aged 0–12 cannot hold their own login.
- Young adults aged 13–17 may hold their own individual login to book and manage their own activities, and may also be added to a family account as a Child add-on.
- MindMotion is for children aged 0–17 and is available subject to capacity. A parent or guardian must remain on site at The Rec while their child is at MindMotion, unless otherwise agreed in writing for a specific programme.
- Off-site partner experiences for children only take place with prior parental approval.
- Children may only use facilities suitable for their age and, where required, under supervision. IVV and the bar areas of Rare Society are for adults aged 18 and over.
Conduct & safety
The Rec is built on respect. Everyone on site is expected to treat staff, members and guests with courtesy.
- Follow staff instructions, safety signage and the house rules of each world.
- Use equipment properly and only after any required induction (for example at Basecamp or in the gym).
- Wear appropriate clothing and footwear for each facility.
- Tell us about any health condition that may affect your safety before using fitness, wellness or climbing facilities. Consult a doctor where appropriate.
- Harassment, discrimination, aggressive behaviour, intoxication in activity areas and unlawful conduct will not be tolerated.
Liability
You use the facilities at your own risk, and should do so within your own ability and health. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or any liability that cannot be limited under the laws of Rwanda.
Lockers are provided for your convenience. We are not responsible for loss of, or damage to, personal belongings unless caused by our negligence. Please do not leave valuables unattended.
Photography & CCTV
CCTV operates in public areas for safety and security. We may photograph or film events for The Rec’s own communications. We will always ask before featuring an identifiable member prominently, and never photograph children for publication without a parent’s consent. See our Data Protection Policy for more.
Changes to these terms
We may update these terms from time to time. We will tell members about significant changes at least 30 days in advance, by email or through the member app. The latest version is always available on this page.
Governing law & contact
These terms are governed by the laws of the Republic of Rwanda, and the courts of Rwanda have jurisdiction. If you have a concern, please speak to our Guest Experience team first. We will always try to resolve it quickly and fairly.
